Creating Work Orders

How to create a new Work Order:

  1. From the Navigation menu click the Create a Work Order link under the Work Orders menu.
  2. Fill out the General and Problems sections of the form and review the Summary Required fields are marked with an . For help with some of the fields see below.

  1. From an existing Work Order's details page click on the Work Order drop down and choose New.
  2. Fill out the General and Problems sections of the form and review the Summary Required fields are marked with an . For help with some of the fields see below.

  1. From the Work Orders area click the Work Order drop down and choose New.

  1. From an active Location's details page click the Actions button and click Create Work Order.
  2. Fill out the General and Problems sections of the form and review the Summary. Required fields are marked with an . For help with some of the fields see below.

Tip: All the information that appears in drop downs are controlled by you in Settings. You also have the ability to toggle back and forth in each area before final submission to allow for changes/edits to the information.

Employee Assignment

This field is automatically populated with the user that is logged in, but it is editable.


Caller/Reported By

This is the name of the person who is requesting service.


Priority

This is where you choose how soon the work should be completed. EX: This work order is an emergency.


Reference Code

If your client has their own PO or Tracking Number you can reference it here.

Pending Open Work Orders

Pending Open Work Orders

To help prevent duplicate work orders Officetrax will display this notification when you select a trade on a Work Order for a Location that already has an open Work Order for that trade. You can click and view the open work orders to verify if you are making a duplicate or not.

Problems

Additional problems can be added by pressing the Add another Problem link. To remove a problem press the button. You must have at least one problem.

Checklists

Checklists can be created for Problems so that when a work order is being created you can ensure the issue is not easily solvable or to collect specific additional details.

Solved/Unsolved

You can then choose to mark the problem as Solved or leave it as Unsolved. To mark it as solved use the toggle and switch it to Solved. If all problems on a work order are marked as Solved in the checklist the Work Order status will be set to Solved when you finish creation and there will be no dispatching functions.
